Customers Overview
The Customers module is your central hub for managing all client information in TravPilot. Store, organize, and access customer details to streamline your itinerary creation and booking processes.
What You Can Do
- Store complete customer profiles with contact information
- Search and filter through your customer database
- Track customer status (Active/Inactive)
- Link customers to itineraries
- Maintain organized records for all your clients
Accessing Customers
Access all your customers by clicking Customers in the left navigation panel.
Customer List View
The Customers page displays all your stored customers in a clean, organized table:
Information Displayed
Each customer entry shows:
- First Name - Customer's first name
- Last Name - Customer's last name
- Email - Primary email address
- Phone - Contact phone number
- Status - Active or Inactive badge
Searching Customers
Use the search bar at the top-right of the customer list to quickly find specific customers.
Search By
You can search using any of the following:
- Customer First Name
- Customer Last Name
- Email Address
- Phone Number
Example: Type "john.smith@email.com" or "555-1234" to find matching customers instantly.
Filtering Customers
Filter your customer list by status to focus on specific groups:
- Active - Customers currently working with your agency
- Inactive - Past customers or inactive accounts
Use the status filter dropdown to toggle between Active, Inactive, or All customers.
Customer Status
Active Customers
Customers marked as Active are current clients you're working with. These typically include:
- Clients with upcoming trips
- Regular customers who book frequently
- Active accounts in good standing
Inactive Customers
Mark customers as Inactive when:
- The client relationship has ended
- You want to archive old customer records
Note: Inactive customers remain in your database but can be filtered out of your main view for easier management.
Adding New Customers
Click the Add Customer button to create a new customer profile.
Required Information
When adding a customer, you'll need:
- First Name (required)
- Last Name (required)
- Email Address (required)
- Phone Number (optional but recommended)
- Status (Active by default)
Managing Customer Records
Viewing Customer Details
Click on any customer row to view their complete profile and:
- See all associated itineraries
- View booking history
- Access complete contact information
- Update customer details
Editing Customers
To update customer information:
- Click on the customer from the list
- Select Edit on their profile page
- Modify the necessary fields
- Save your changes
Changing Customer Status
You can toggle a customer between Active and Inactive status from their profile page. This helps you maintain a clean, organized customer database.
Best Practices
Keep Information Current
- Update email addresses and phone numbers when customers share new contact info
- Mark customers as Inactive when they're no longer active clients
- Add notes about customer preferences for future reference
Use Consistent Naming
- Enter names in a consistent format (e.g., "John Smith" not "john smith" or "JOHN SMITH")
- Include full phone numbers with country/area codes
- Use primary email addresses for better communication
Regular Maintenance
- Periodically review your customer list
- Update statuses to reflect current relationships
- Archive or remove duplicate entries
Linking Customers to Itineraries
When creating a new itinerary, you can select existing customers from your database or add new ones on the fly. This creates a seamless connection between your customer records and their travel plans.
Data Security
All customer information is securely stored and only accessible to authorized users within your organization. Customer data is encrypted and protected according to industry standards.
Common Questions
Can I delete customers? Yes, you can delete customer records, but this action is permanent. Consider marking them as Inactive instead to preserve booking history.
How many customers can I store? There's no limit to the number of customers you can store in TravPilot.
Can multiple team members access the same customer? Yes, customer records are shared across your organization, allowing seamless collaboration on client accounts.
What if I have duplicate customers? You can merge duplicate records by editing one customer and then deleting the duplicate. Make sure to update any linked itineraries first.
